Adding Learners to a Group

From the user interface, you can add a Learner to an Group in three ways:

  1. From the Group itself under the Groups tab (where you can assign one or more Learners to a single Group),
  2. From the Learner Details screen,
  3. From the Learners tab (where you can assign one or more Learners to multiple Groups at one time). This method is most useful when setting up Learners in an ad-hoc situation where you need multiple Group assignments. If doing this on a more regular basis, you might consider using the Group assignment feature you can use when Importing Learners and Educators from a file.

To add Learners to a Group from the Groups tab:

  1. Select the Group you wish to add Learners to, you will be taken to the Group Details page.
  2. If the Group has no Learners assigned to it, you will see a message There are no Learners assigned to this Group, Add more Learners.
  3. Select Add more Learners to view the Add Learners to Group page. Here you can:
  • Select Learners individually by selecting the check box to the left of each Learner's name.
  • Select Learners from a previously created Group, using the View Learners in: dropdown list.
  • Search for a Learner and add them to the Group.

Note: Selecting the Selected tab shows which Learners have been selected for the Group.

When you have all the required Learners selected, select Save (at the top or bottom of the screen). A confirmation message will be displayed once the Learners have been saved in the Group.

Tip iconCaution: The Selected tab only shows the Learners who have been selected for inclusion in the Group, not those who have been added to the Group. In order to add these Learners you must select Save. If you navigate away from the Add Learners to Groups page without first selecting Save, your selections will be discarded.

If the Group already has Learners assigned, these Learners will be listed down the left hand side of the screen.

To add more Learners:

  1. From the Group Details panel on the right of the screen, select Add More under the Assigned Learners heading.
  2. Add Learners as described in the procedure where no Learners are assigned.

To assign an Learner to one or more Groups from the Learner Details page:

  • From the Learners tab, select the View Details link to the right of the Learner that you wish to assign. You will be taken to the Learner Details screen.
  • Under the subheading Assigned Groups, select the Add to Organisation Group(s) button.
  • Select the Groups to which you wish to add the selected Learner. Groups that they are already assigned to will be greyed out.
  • Select Save to add the selected Learner, or Cancel to exit the process without making any changes.
  • If you select Save, a confirmation message will be displayed to show what changes have been made.

To assign one or more Learners to multiple Groups at one time:

  • From the Learners tab, select the Learner(s) you wish to assign to a Group or Groups.
  • Under the Maintain panel in the side menu, select Add Selected to Organisation Group(s). You will be shown the available Organisation Groups.
  • Select the Groups to which you wish to add the selected Learners.
  • Select Save to add the selected Learners, or Cancel to exit the process without making any changes.
  • If you select Save, a confirmation message will be displayed to show what changes have been made.

Note: You cannot add members to a hidden Group. You will need to unhide the Group before adding members manually or via a file upload.
